Step 4: Communication Setup

Upload Your Call Scripts

This ensures every script is instantly available inside your dialer, so you never search for wording mid-call.

1. Go to Settings

Left-side menu → scroll to bottom → Settings

2. Open Phone System

3. Click Voice at the Top

4. Select the Call Scripts Section

5. Click Add Scripts

6. Upload and Label Scripts

Add scripts for:

• Final Expense

• IUL

• Mortgage Protection

• Any other products you sell

7. Copy and Paste your script and make any necessary aesthetic edits

Purchasing a Phone Number

1. Go to Settings

2. Click Phone System

3. Click Add Number

4. Choose a Local Number

🛑 STOP - If you do not have a legal business and an EIN you must buy a Toll Free Number in order to utilize the text messaging features. If you DID PROVIDE US WITH AN EIN FOR A2P REGISTRATION you can buy a local number.

7. Purchase the phone number

🗒️ Please Note: If you are having issues with purchasing your number, your bank is most likely blocking the small charge. Please contact your bank to have the charge released.

Configure Your Phone Number

1. Click menu (⋮)

2. Click Edit Configuration

3. You may rename this number for clarity.

4. Call Forwarding (Optional) > Forward to your personal phone or assign to a user.

5. Enable Call Connect (Recommended) > This plays a brief “whisper” before calls connect so you know who you’re talking to.

6. Set Whisper Message > Use custom values to include the caller’s name. (Click the small tag button > Contacts > First + Last Name to autofill who is calling)

7. Call Recording (optional) - Be aware of legal compliance in your state and additional charges ($0.00575 / recording)

8. Timeout Settings:

Incoming/outgoing call timeout:

30–40 seconds recommended

9. Caller ID Settings > Choose whether to pass-through number or display assigned ID.

10. Save Configuration

⚠️ A2P Reminder: Texting will activate only after A2P registration is approved. If it has been less than 4 business days since you purchased your subscription than your A2P has NOT been approved yet.

Our team handles this part — no action required here.

Spam Protection

For the best Spam Protection complete all 3 steps

⚠️ You must have an EIN and legal registered business with the IRS to complete the Shaken/Stir + CNAM registrations. If you do not have an LLC you can still use the WAVV Spam Protection feature with WAVV.

Shaken/STIR (Voice) Registration:
This registration verifies your business calls, preventing them from being flagged as spam and improving answer rates by digitally signing calls.

1. Click on Settings > Phone System > Trust Center > Shaken/Stir (Voice)

2. Click Start Registration

Note: If you are using WAVV you will want to register inside of Phoenix CRM AND inside of WAVV.

CNAM (Voice) Registration:

Displays your business name as Caller ID for your customers

1. Click on Settings > Phone System > Trust Center > CNAM (Voice)

2. Click Start Registration

Note: If you are using WAVV you will want to register inside of Phoenix CRM AND inside of WAVV.

WAVV Spam Protection

Monitors your phone numbers with the phone carriers to determine if they have been flagged as Spam. If they do become high risk, WAVV will automatically begin remediating the number to remove the Spam Flag. This can be setup inside of your WAVV Widget after registration. (WAVV is not required for a successful experience)
